Loose-leaf Filer / Library Clerk Services

(All tasks undertaken by this position will always be under the direction of the client, AccuFile Librarian or Library Assistant.)

Responsibilities include:

·         Filing/Updating of:

    • Loose-leaf reporters (for example: CCH Standard Federal Tax Reporter)
    • Tax Management Portfolios (BNA)
    • Loose-leaf treatises (for example, Matthew Bender…)
    • Pocket parts (for example, West - Federal Digest)
    • Code of Massachusetts Regulations (CMR) and other state codes.

·         Ordering missing pages and missing report letters

It is the responsibility of the filer to see that the missing item(s) (missing pages or report letter) is ordered.  Where the client prefers to handle the task of ordering, the filers is to provide the client with the appropriate information, emphasizing that the missing item must be ordered for the next visit.  When in question, the filer should always offer to do the ordering.  The filers must follow up on all such orders, whether the client or they do the ordering.

·         Watch for and report Publisher Error

If errors are found and if possible, proceed to file with caution.  If you are unable to file due to the error, call the publisher and rectify the problem.  All publisher errors must be forwarded to the Office, so as to inform other AccuFile staff. 

·         Shelving of books

If requested by the client or the AccuFile Librarian, all loose-leaf filers are responsible for shelving of books found throughout the library.  On occasion books are found on work tables within the library with notes “do not reshelve,” please adhere to their wishes.  If the same note is found after 3 visits please inquire with the client or the AccuFile Librarian.

·         Watch for and report broken and over filled binders to the client contact

When a broken binder is found, offer to order a new binder (the publisher should provide new binders for free).  It is very important that the client be aware of your intention to call the publisher, especially if there is a cost involved.  For over filled binders, this should be an alarm that something is wrong, call the Office and the Publisher to rectify the problem.

·         General housekeeping

Following the filing and prior to departure from the client please tidy up the work area.  Pick up trash; arrange loose papers, etc.

·         Other general clerical duties

Such as photocopying in library, deliver and retrieve titles (books) from attorney offices, and other clerical duties as requested by client and approved by AccuFile management.
